We are a small, client-focused financial advisory firm with two advisors dedicated to providing personalized financial planning and investment management services. We are looking for a reliable, organized, and personable Office Manager to help keep our operations running smoothly and to support the delivery of exceptional service to our clients.
Job Responsibilities:
- Greet and assist clients in person, by phone, and by email with professionalism and warmth
- Manage scheduling, calendar updates, and appointment confirmations
- Maintain and organize client records and files, ensuring confidentiality
- Prepare and process client paperwork (applications, account updates, transfers, etc.)
- Communicate with vendors, custodians, and service providers as needed
- Manage office supplies, mail, and general upkeep of the office
- Support marketing efforts such as mailings, email newsletters, and event coordination
- Perform other administrative duties as needed to support the advisors
- Keep all client facing products updated through compliance
- Strong organizational skills and attention to detail
- Excellent communication skills, both written and verbal
- Proficient with Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently and manage multiple tasks effectively
