Part Time Office Manager

We are a small, client-focused financial advisory firm with two advisors dedicated to providing personalized financial planning and investment management services. Our work environment is professional, friendly, and client-centered. We are looking for a reliable, organized, and personable Office Manager to help keep our operations running smoothly and to support the delivery of exceptional service to our clients.
Job Responsibilities:

  • Greet and assist clients in person, by phone, and by email with professionalism and warmth
  • Manage scheduling, calendar updates, and appointment confirmations
  • Maintain and organize client records and files, ensuring confidentiality
  • Prepare and process client paperwork (applications, account updates, transfers, etc.)
  • Communicate with vendors, custodians, and service providers as needed
  • Manage office supplies, mail, and general upkeep of the office
  • Support marketing efforts such as mailings, email newsletters, and event coordination
  • Perform other administrative duties as needed to support the advisors
  • Keep all client facing products updated through compliance
Qualifications:
  • Strong organizational skills and attention to detail
  • Excellent communication skills, both written and verbal
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and manage multiple tasks effectively
  • Professional demeanor and commitment to confidentiality
  • Positive attitude and customer service mindset
